4. How we use your data and our legal basis

We only use your personal data where the law allows it. The table below shows what we do and why.

What we do Legal basis

Keep financial and tax records Legal obligation

We do not sell your personal data. We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.

Where we rely on legitimate interests, we have balanced our interests against your rights. You can object at any time (see section 10). Where we rely on consent, you can withdraw it at any time without affecting anything we did before.

5. Analytics and advertising: Google Analytics, Google Ads and Meta Pixel

With your consent, we use Google Analytics 4. We are adding Google Ads and the Meta Pixel, and this section explains how they work. They load only after you accept analytics or marketing cookies in our cookie banner.

Google Analytics 4 (Google LLC / Google Ireland Ltd)
. Tells us how visitors use our site, for example which pages are viewed, how long visits last and where visitors come from. Google may process your IP address, but we do not use Google Analytics to identify you by name.

Google Ads (Google LLC / Google Ireland Ltd)
. Measures whether people who click our adverts go on to sign up or buy (conversion tracking), and lets us show adverts to people who have visited our website (remarketing). Google uses cookies and identifiers to do this. Learn more at Google's privacy policy and change your ad settings at adssettings.google.com.

Meta Pixel (Meta Platforms Ireland Ltd / Meta Platforms Inc.).
 A small piece of code that tells Meta (Facebook and Instagram) when you visit our site or take actions such as signing up or buying. We use it to measure our adverts and to show our adverts to people who have visited our site. Meta may link this to your Facebook or Instagram account if you have one. Meta is a joint controller with us for collecting this data and is responsible for its own use of it. See Meta's privacy policy . We may also use Meta's Conversions API, which sends the same kind of event information from our systems to Meta directly. We only do this for visitors who have consented to marketing cookies.

Customer lists (Custom Audiences and Customer Match)
. We may upload email addresses to Meta and Google in a scrambled (hashed) form so that we can show our adverts to existing contacts, avoid showing them adverts they don't need, or reach new people with similar interests. The platforms match the scrambled data against their users and then delete the data that does not match. We only include contacts who have agreed to this, and you can opt out by emailing info@mysportscience.com.

We may use Google Tag Manager to manage these tools on our site. Google Tag Manager does not itself collect personal data.

6. How we use artificial intelligence (AI)

We use AI tools, currently Claude (Anthropic) and ChatGPT (OpenAI), to help us work more efficiently. We use them in three ways:

Translations, captions and summaries. Some subtitles in other languages (for example Spanish, Japanese and Dutch) and some webinar and lecture summaries are produced with the help of AI. AI translations and summaries can contain errors. If anything is unclear, the original spoken content is the authoritative version.

Content and communications. We may use AI to help draft or edit emails, social media posts, course descriptions and supporting materials. All scientific content is created or reviewed by our experts, and responsibility for it stays with us and our speakers.

Understanding how our services are used. We may use AI tools to help analyse data about registrations, subscriptions, attendance and engagement so we can improve our courses, webinars and website. Where possible we remove or reduce identifying details first. We use business or API services from these providers under terms that do not allow them to use our data to train their models.

We do not use AI to make decisions about you that have legal or similarly significant effects, such as refusing you access to our services.

7. Who we share your data with

We share personal data only with service providers who help us run mysportscience academy, and only as much as they need. They act on our instructions under contracts that require them to keep your data secure. Meta and Google, when acting for their own advertising purposes, are independent or joint controllers and follow their own privacy policies.

8. International transfers

Some of our providers are based in, or store data in, countries outside the UK and the European Economic Area, mainly the United States.   • delete your data, where we no longer have a reason to keep it;
  • restrict how we use your data in certain circumstances;
  • object to our use of your data based on legitimate interests, and to direct marketing at any time;
  • data portability, to receive data you gave us in a common, machine-readable format;
  • withdraw consent at any time, for example by unsubscribing from emails or changing your cookie settings.

To use any of these rights, email info@mysportscience.com. We may need to confirm your identity. We will reply within one month. For complex requests this can be extended by up to two further months, in which case we will tell you why.

Every marketing email includes an unsubscribe link. Unsubscribing from marketing does not stop service emails about your account or purchases.

11. How we protect your data

We use appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS), secure payment processing through certified providers, restricted access to accounts and customer data, and contracts with our providers that require them to keep data secure. No method of transmission over the internet is completely secure, but if a data breach affects your rights we will notify you and the ICO where the law requires.

12.Complaints

If you are unhappy with how we have used your personal data, please contact us first at info@mysportscience.com and we will try to resolve it. You also have the right to complain to the UK Information Commissioner's Office (ICO).
If you live in the European Union, you can also complain to the data protection authority in your country.

13. How we protect your data

We may update this policy from time to time, for example when we start using a new service. The date at the top shows when it was last changed. If we make significant changes, we will tell you by email or through a notice on our website before they take effect.

14. Contact us
